1. Service-based fees
VeloxByte charges based on the specific services agreed for each engagement (scope, milestones, or retainer). The services we provide may include:
- AI PoC & MVP

- Cloud & Infrastructure
- Custom Software
- Mobile App Development
- SEO
- Web Development
- Website Maintenance
- Agent CRM — product offering (CRM + agent website)
Refund eligibility always depends on what was contracted, invoiced, and delivered or performed for that line item or milestone.
2. Deposits, milestones, and invoices
Unless otherwise stated in writing, project fees are often collected as deposits, milestone payments, or final balances tied to defined deliverables. Each invoice should describe the period or milestone it covers.
3. Partial delivery — non-refundable portion
When a portion of the project has been delivered and accepted (or objectively completed per the SOW — for example: shipped code, published site, handed-over repository, delivered design package, or completed sprint), the payment attributable to that delivered portion is non-refundable.
- "Delivered" includes work you have received and can use, even if the wider project is not finished.
- Third-party or pass-through costs already incurred (licences, domains, paid APIs, ad spend) are generally non-refundable.
4. Project half-done — refund of the undelivered portion
If an engagement ends while the project is only partially complete, any refund or credit applies only to the part of the work that has not been performed or delivered, and only where not otherwise excluded below.
- We determine the split using the written scope/milestones, time and materials records (if applicable), and artefacts actually delivered.
- If you prepaid for a future milestone that we have not started, you may be eligible for a refund or credit for that milestone, subject to contract terms.
- If work on a milestone was substantially in progress, we may invoice proportionally for effort and costs incurred up to the termination date.
5. Monthly retainers and recurring clients
For monthly retainers or other recurring billing:
- Fees cover the agreed period (e.g. calendar month) and allocated capacity — the portion of the period already elapsed and work already performed is non-refundable.
- If you cancel mid-cycle, we do not refund the current period unless we expressly agree otherwise in writing.
- Prepaid future periods may be credited or refunded for those future periods only, if cancellation is accepted in writing before the work for that period begins.
6. Client-caused delays or cancellation
If delivery is delayed or halted because the client does not provide required approvals, access, or materials within a reasonable time, fees for reserved capacity or scheduled milestones may still apply as stated in the SOW.
7. Chargebacks and disputes
Please contact us first at info@veloxbyte.com before initiating a chargeback. We will work in good faith to resolve billing disputes based on delivered work and signed agreements.
8. How to request a review
Email info@veloxbyte.com with your invoice number, project name, and a short description of the issue. We typically respond within 5 business days with a breakdown of delivered vs pending scope where applicable.
